Project Title: From Orientation to Collaboration: Building a SharePoint Hub for a Global, Volunteer-Powered Team

Overview

This project began with a request to develop a training experience for new volunteers at a healthcare-focused nonprofit. At first glance, the goal seemed clear: help volunteers get oriented. But as conversations unfolded, it became obvious that the root challenge wasn’t just about training; it was about access.

Organizational Context

The organization is small but growing, with a global network of staff, board members, and volunteers working across time zones, primarily in the U.S. and Mexico. Nearly all work happens online, with team members switching between phones, laptops, and shared devices. Digital comfort levels vary widely, and time is often in short supply.

The people powering this work are passionate and purpose-driven, but often stretched thin. They juggle multiple roles, balance advocacy with logistics, and need tools that meet them where they are rather than systems that add complexity.

What they needed wasn’t just a learning solution; it was a shared digital space that could support connection, collaboration, and clarity across the team.

Scope

Initial Request: Orientation/training for onboarding new volunteers

Discovery Process: Through intentional questioning and conversation, I surfaced broader needs:

  • No central location for critical documents or updates

  • Varying tech comfort across users

  • A desire for asynchronous, role-friendly collaboration

Final Deliverables

  • A SharePoint intranet/communication site with intuitive architecture and simplified permissions

  • A training course designed to build comfort and confidence using the site

  • Tip sheets, walkthrough videos, and an admin support plan to enable long-term use

  • Role-based guidance for volunteers, board members, and staff to reduce onboarding friction and improve collaboration
